If your company runs SAP SuccessFactors and a worker gets injured, there is nowhere to log the incident. SAP’s documentation places its health and safety module inside SAP ERP, which is a separate product from its HR system.
Current training material says the same thing, “incident reporting exists within S/4HANA Cloud EHS and SuccessFactors appears as a system it integrates with”.
Users are left wondering: how can I record injuries without buying a second SAP product?
How do Companies Using SuccessFactors Record Incidents?
Across US employers, incident reporting is still only partly digital.
A 2026 National Safety Council survey of 1,053 EHS leaders showed that only 11% were digital and 18% said they still relied on manual or paper-based processes. Companies using SuccessFactors are left with the same choice but with an extra constraint since the HR platform they pay for doesn’t have an incident record of its own.
This leaves three possible routes:
- Spreadsheets, emails, and paper forms. They cost nothing to start but leave records outside the HR system.
- Custom object built with SAP’s Metadata Framework. SAP describes it as a way to “extend SuccessFactors HCM suite capabilities.” You can store incident fields, but there’s no investigation workflow, corrective action tracking, or regulatory forms.
- Dedicated safety tool or platform. Some are apps that extend SuccessFactors, and those listed on SAP’s website have incident and hazard capture, but no regulatory forms or investigation capabilities. Others are EHS platforms that integrate with SuccessFactors and sync employee data while incident records exist in the safety system.
However, each route only covers a part of the problem, which begs the question: What does a company need its incident records to do after they’re logged?
Which Incident Management Solution Fits a SuccessFactors Company?
- Companies with an office-based workforce. Simple setups may be enough. Structured forms or a custom object in SuccessFactors can log occasional incidents with follow-ups handled via emails or in-person.
- Companies with field or site staff. Capturing becomes a priority, so incidents must be reported from the site while the details are recent. A safety app can handle logging, and you may track investigations and corrective actions manually.
- Organizations in regulated or high-hazard industries. Safety incidents in public sector, utilities, healthcare, transportation, manufacturing, or construction have a legal reporting deadline. Covered US employers have “seven (7) calendar days” to record it on OSHA’s forms, and in Ontario, the WSIB must receive the report “within three business days.” Each incident also requires an investigation that ends in corrective action and may even lead to return-to-work plans, accommodations, or union grievances.
What Does Complete Incident Management Look Like for a SuccessFactors Company?
OSHA’s incident investigation guide for employers details four steps in the process: preserve and document the scene, gather data, determine root causes, and implement corrective actions. It goes on to say that a successful investigation should discover root causes.
Federal rules enforce deadlines and obligations following an investigation’s closure.
A fatality must be reported within eight hours, and an in-patient hospitalization, amputation, or loss of an eye must also be declared within 24 hours. The Department of Labor states that injured employees may have rights under workers’ compensation, FMLA, and the ADA. A single injury, then, can mean leave, reinstatement, and accommodation decisions in a single case.
Sodales keeps incident records connected to the employee’s profile in SuccessFactors.
Our EHS incident management software includes root cause frameworks like 5-Whys and Ishikawa, corrective actions with owners and due dates, and a closure rule that keeps incidents open until actions are complete. Regulatory forms are also generated from the same data.
When the injury leads to a workers’ compensation claim, FMLA leave, an accommodation, or a grievance, new cases are still linked to the original record.
